Job Summary
The Administrative Assistant II will Assist with the overall daily operations in the Registrar’s Office, ensuring compliance with FERPA, SACSCOC, and KCTCS Administrative Policies and Procedures, in support of institutional goals.
Initial review of applications will begin June 2nd, 2025.
Job Duties:
Duties to include, but not be limited to:
• Process registrations, drop/adds, grades, and data changes requested by students and faculty. Redirect enrollment and/or degree certification requests to the National Student Clearinghouse; complete those requests in-house when necessary.
• Manage electronic transcript requests and processing through National Student Clearinghouse; process transcript requests to be mailed when required. Maintain transcript log to be used for tracking transcript request status.
• Receive applications for credentials; assist with pre- and post-grade audit of graduation documents for Registrar's review; assist with Commencement.
• Prepare, scan, index, and upload student records into OnBase, HCTC’s digital imaging system for student records storage. Quality check scanned images and ensure all information is legible on the digital copy. Manage HCTC’s document storage and retention policy for original documents.
• Cross-train with co-workers for succession planning and to support others when and where needed, including assisting with data entry for various departments during peak times. Engage in professional development opportunities.
• Respond to requests for information from prospective, current, and former students, and from faculty and staff.
• Other duties as assigned.
Minimum Qualifications:
High school degree plus 1 year of relevant experience or equivalent. Associates degree preferred.
