Job Summary

The System Executive Director of Financial Aid is responsible for the development, direction, supervision, compliance and evaluation of the federal and System-wide Financial Aid Program.

Positions with the KCTCS System Office located in Versailles, KY are term-contract positions, with the expectancy of continuance based on performance.

KCTCS offers a hybrid work schedule with a requirement to be onsite a minimum of 3 days per work week. Hybrid work schedules are subject to periodic review and may be modified or terminated at any time.

Job Duties:

Oversees system-wide operations of Financial Aid and maintains current working knowledge of governing agency regulations, including federal, state, and third-party regulations. Also assists with implementation and oversight of institutional policies/ procedures to ensure compliance with federal, state, and other governing agency regulations. Provides ongoing training to Systems Office Financial Aid staff and College Financial Aid Directors to ensure regulatory and policy compliance.

Assures system-wide Financial Aid policies and procedures are consistently applied in processing student files. Provides leadership in partnering with Technology Solutions in the development and implementation of new or updated financial aid solutions to ensure system integrity and integration. Responds to related internal and external audit findings and exceptions, and federal and state reports that impact the Financial Aid Program.

Sets performance standards and goals for KCTCS College's Financial Aid Program; ensures appropriate cross training and on-going technical infrastructure support as needed.

Interprets and explains rules, regulations, and policies and procedures related to student financial aid to other administrators, faculty, staff, students, and the community, as needed. Works closely with System Registrar to ensure enrollment goals are attained through effective packaging processes and prescribed processes are followed. Provides guidance on policies/processes implemented by other departments that could potentially impact Financial Aid compliance.

Provides leadership and support for training the System's Colleges' financial aid personnel including areas such as current and updated regulations, appropriate and current use of technology resources, and a high-quality customer service environment. Works with Student Accounts to coordinate processes, as needed.

Develops and implements Financial Aid operational changes as needed and evaluates the effectiveness of Student Financial Aid Programs and System Office staff. Serves as hiring manager for all financial aid positions and directs, supervises, and evaluates System Office Financial Aid staff.

Minimum Qualifications:

Bachelor's Degree and five (5) years of relevant experience or equivalent. 

Preferred Qualifications:

Master's Degree and eight (8) years of relevant experience or equivalent.
