Job Summary
The Administrative Assistant is responsible for administrative support to the Division of Arts & Sciences. This position will efficiently manage scheduling, reporting, and administrative tasks to ensure smooth academic operations and support faculty and students. This includes handling course schedules, generating various reports, and performing essential administrative duties to maintain organizational effectiveness.
Job Duties:
Implement changes to course schedules.
Manage all aspects of the course cancellation process, including notifying students and advisors and reassigning students.
Conduct a thorough review and cleanup of the upcoming semester's schedule.
Produce live class counts three times weekly, organize the data, highlight trends, and provide insights on enrollment patterns and issues.
Prepare faculty load reports, including data organization, credit totaling, and identification of overload candidates.
Develop course offering reports, identifying high and low enrollment courses, total sections, and performing other analyses.
Complete additional reporting tasks as assigned.
Assist with the book ordering process.
Collect and audit syllabi.
Respond to inquiries from the department email inbox, providing essential organizational information.
Manage select Microsoft Bookings pages.
Coordinate logistics and secure resources for division meetings.
Track, stock, order, and inventory office supplies to ensure adequate materials are available.
Perform other administrative duties as assigned.
Minimum Qualifications:
Associate's degree or equivalent and 1-3 years relevant experience

Clear verbal and written skills.

Preferred Qualifications:
Bachelor's degree or equivalent and 4-6 years relevant experience
Experience in and understanding with students from diverse populations.
Experience working at the community college level.
Full-time staff appointment in the Workforce Solutions Office, providing direct support to the Workforce Solutions Unit through coordination and delivery of administrative support.
