Job Summary

The Academic and Student Support Administrator provides a pivotal leadership role in the coordination and execution of key system-wide academic programs, including dual credit, transfer pathways, and competency-based education (CBE). This position is responsible for overseeing strategic operations, ensuring alignment with institutional goals, and driving continuous improvement across multiple programs that directly impact student success and academic innovation. Acting as a central point of contact and project lead, the Administrator collaborates with internal and external stakeholders, manages complex workflows, and ensures the timely delivery of high-impact resources and communications.

Positions with the KCTCS System Office located in Versailles, KY are term-contract positions, with the expectancy of continuance based on performance.

KCTCS offers a hybrid work schedule with a requirement to be onsite a minimum of 3 days per work week. Hybrid work schedules are subject to periodic review and may be modified or terminated at any time

Job Duties:

Leads and oversees back-end dual credit operations across the system, including managing course information in PeopleSoft, assisting college staff with scholarship reconciliation with KHEAA, routing and resolving tickets related to dual credit, and serving as the point of contact for DualEnroll management. Collaborate with Financial Aid and the Business Office on dual credit scholarship reconciliation.

Manages and maintains the systemwide transfer pathway inventory, webpage, SharePoint site content, and the transfer newsletter. Ensures information is accurate and up to date across multiple platforms and is responsible for communicating with four-year partners on updates, changes, and requests for information.

Oversees operational functions and drives the development and expansion of CBE programming across the system, including managing program development activities, ensuring deadlines are met and stipends processed, updating resource materials, maintaining SharePoint content, and creating tools and materials to support training and scaling efforts.

Provide strategic leadership in meeting facilitation for dual credit, transfer, and CBE initiatives, ensuring high-quality documentation of key decisions, oversight of action-item tracking, and timely execution of follow-up tasks. Maintain comprehensive, accurate, and up-to-date records, files, and program documentation, and prepare regular reports and summaries outlining project status and future directions. Collaborate proactively with ORPA and Marketing to coordinate data requests, support analysis needs, and guide marketing efforts related to dual credit, transfer, and CBE priorities.

Champion process-improvement initiatives by identifying operational inefficiencies and advancing opportunities to enhance processes across the dual credit, transfer, and CBE programs.

Minimum Qualifications:

Bachelor's Degree and four (4) years of relevant experience or equivalent.
