Job Summary
This is a full-time staff position to support the accounting and administrative functions of the Bluegrass Community and Technical College (BCTC) Office of Advancement and the BCTC Foundation. The position reports to the Associate Vice Chancellor of Advancement.
Job Duties:
- Plans, executes, and maintains the development, organization, and ongoing updating of complex financial statements, journals, ledgers, accounts, and reports within an automated financial system to ensure accurate recording and reporting of financial transactions for the BCTC Office of Advancement and the BCTC Foundation.
- Analyzes financial reports, data, and records; identifies discrepancies; investigates underlying causes; and recommends corrective actions to ensure accuracy and compliance.
- Monitors automated financial systems and develops, documents, and implements internal controls to ensure system reliability, data integrity, and compliance with financial best practices.
- Audits reconciliations, journal entries, schedules, and financial reports to ensure accuracy, completeness, and compliance with institutional and regulatory standards.
- Oversees scholarship fund administration, including annual and endowed fund utilization.
- Supports Advancement staff in the coordination of stewardship initiatives, endowment reporting, and donor database management strategies.
- Manages annual reporting to scholarship donors—including Schell and Emergency Fund stewardship—and collaborates with Advancement staff, the Executive Director of the BCTC Foundation, and the BCTC Foundation Board of Directors.
- Coordinates with Advancement staff to ensure accurate invoicing, donation processing, donor communication follow through, internal tracking, and preparation of financial and stewardship reports.
- Provides administrative planning and organizational support for Advancement and Foundation events.
- Performs other duties as assigned to support the mission and operations of the Office of Advancement and the BCTC Foundation.
Minimum Qualifications:
- Bachelor's Degree in Administrative and/or Office Systems, Business Management, or related field, and 4 years of related experience or equivalent
Preferred Qualifications:
- Bachelor's Degree in Administrative and/or Office Systems, Business Management, or related field and 6 years of related experience or equivalent
Additional Skills Requested:
