Job Summary
The Administrative Assistant II will work under the direction of the administrative assistant Ill. Serve as the primary person to answer the multi-line phone for the System Office and direct callers appropriately. Must provide excellent customer service to both internal and external users of the Center. Must be knowledgeable about the System Office and College functions in order to appropriately direct incoming calls and guests. Performs duties in accordance with System Office practices, procedures, and policies. Receives, monitors and schedules Fleet Car requests. Assists in scheduling conference room bookings and provides conference center meeting needs. Assists in development and construction of weekly room setups by handling the physical set up of tables, chairs, air walls, podiums, and other meeting needs. Responsible for promoting and protecting the KCTCS brand to System Office visitors. Must be adept in the Microsoft Suite of software as well as other scheduling software.
Positions with the KCTCS System Office located in Versailles, KY are term-contract positions, with the expectancy of continuance based on performance.
Job Duties:
Answers the phone lines coming into the System Office and directs callers in a friendly manner. Greets guests to the System Office and assists with appropriately meeting their needs.
Provides excellent customer service to KCTCS guests (either in person or by phone) Other duties as assigned
Scheduling company fleet vehicles, documents maintenance, keeps records, car keys and debit cards
Assists in constructing weekly room setups
Provides conference center meeting needs included, but not limited to setting up technology, guest presentations, and catering
Assists in receiving, booking and monitoring schedule of meeting rooms.

Minimum Qualifications:
High School Diploma or GED
Preferred Qualifications:
Associate's Degree and four (4) years of relevant experience or equivalent
