Job Duties:
The Program Specialist supports the implementation and management of two federal grant programs: the Title III Strengthening Institutions Program (SIP) and the Upward Bound Math & Science (UBMS) Program at Southcentral Kentucky Community and Technical College. This position provides administrative support, coordinates program activities, and ensures compliance with federal regulations and college policies.
Key Responsibilities
• Provide administrative support to the Title III Project Director and UBMS Director.
• Prepare agendas and minutes for program-related meetings.
• Assist with preparing grant reports, correspondence, and other required documentation.
• Maintain accurate and organized records, including participant files, financial records, and grant compliance documentation.
• Coordinate all purchasing activities via procurement card and track expenditures to ensure compliance with grant and college guidelines.
• Assist in the recruitment, enrollment, and retention of UBMS participants.
• Coordinate and support UBMS program activities, including workshops, tutoring sessions, STEM field trips, and summer academies.
• Serve as a liaison between UBMS participants, parents, and program staff, ensuring open and effective communication.
• Track and report participant progress, including academic performance and college/career readiness milestones.
• Support implementation of Title III initiatives, including workshops, professional development sessions, and institutional improvements.
• Assist in the collection and analysis of data to track progress toward Title III goals.
• Facilitate communication and collaboration among Title III stakeholders, including faculty, staff, and external partners.
Minimum Qualifications:
Associate degree and one-year related work experience or equivalent. Must be proficient in Microsoft Office and possess excellent customer service, written communication, and verbal communication skills. The successful candidate will have experience handling confidential information and demonstrate a strong work ethic with exceptional problem-solving abilities. Candidates must be detail-oriented, able to prioritize and manage multiple tasks effectively, and capable of working both independently and as part of a highly effective team. This
position requires a high level of professionalism, initiative, and adaptability, along with the ability to meet deadlines, perform well under pressure, and adjust to changing priorities.
Preferred Qualifications:
• Experience with federal grant management and compliance.
• Familiarity with TRIO programs or other student support initiatives.
