Job Summary
The primary purpose of the full-time Administrative Assistant I is to provide administrative and clerical support to the faculty and staff in the Liberal Arts and Social Sciences Division and the Science, Technology, Engineering, and Mathematics (STEM) Division.
Job Duties:
1. Provide administrative support and organization for the Liberal Arts and Social Sciences (LASS) Division and the Science, Technology, Engineering and Mathematics (STEM) Division.
2. Serve as department receptionist by greeting students and visitors, delivering messages, and responding to various needs and questions of the general public. Inform students of class/office hour cancellations and re-direct.
3. Assist two division chairs in addition to discipline coordinators with class scheduling each semester. Proof all division schedule drafts from Academic Affairs for accuracy. Process course schedule revisions throughout the academic year.
4. Process orders and distribute exam copies and textbooks for all full and part-time faculty in all divisions. Serve as liaison between publishing representatives and all faculty in all divisions.
5. Collect syllabi and checklists for 500+ course offerings each term; save and maintain records. Process syllabi requests of past courses for students, admissions officers, and registrars at transfer institutions.
6. Generate enrollment reports, assist with discipline course scheduling, post schedules, and process assessment spreadsheets.
7. Monitor the budgets of the LASS Division and the STEM Division; order general office supplies for faculty in both divisions.
8. Attend and record division meetings of LASS Division and the STEM Division; prepare and distribute division meeting minutes.
9. Other duties as assigned by division chairs.
Minimum Qualifications:
1. High school diploma and 1 year of related work experience, or equivalent.
2. Complete and thorough knowledge of Microsoft computer software packages, communication, organizational, critical thinking skills.
3. Ability to multi-task in an open office environment and respond to issues and concerns that affect the department.
4. Discretion in handling confidential materials related to the department.
5. Pleasant personality being able to meet the public with proper professional phone and personal etiquette.
6. Demonstrate excellent written and oral communication skills, organizational skills, self-starter and one who can accomplish tasks with little supervisory direction in a busy environment.
