Job Summary

Provides leadership support to Student Success & Retention area. Oversees various programs and activities related to the promotion of student success and academic persistence, including coordinating early intervention strategies aimed at identifying and supporting at-risk students. Manages the facilitation of Student Learning Communities, including supervision of Success Coaches and Peer Guides. Works closely with the Director of Student Success/Tutoring, the College Success/FYE Coordinator, area members, and other college leadership, faculty, and staff, to assist with the development and implementation of co-curricular academic activities and programs. Relies heavily on using data collection and analysis to inform decision-making and assess the effectiveness of success and retention efforts of the area and college. The Director of Retention/Early Alert reports to the Associate Dean of Student Success & Retention.

Job Duties:

  • Retention Initiatives and Student Learning Communities

    Assist with the development and facilitation of BCTC Student Learning Communities, including Cohorts and Success Academies.

    Supervises Success Coaches and Peer Guides, including hiring, training, and coordinating student outreach.

    Oversees related budgeting, purchasing, and preparation of expense reports.

    Conducts outreach, recruitment, advising, and enrollment for program students.

    Assist with promotion of student learning communities and retention initiatives including creation and dissemination of marketing materials.

  • Early Alert Manager

    Serves as the Early Alert Manager and Early Alert System (Starfish) Administrator.

    Coordinates all Early Alert activities at BCTC, including communication across the institution and providing training and resources to faculty, staff, and students.

    Monitors several academic reporting systems (Starfish, NAB, etc.) for early alert notices and promotes timely interventions with areas across the college.

    Coordinates and maintains data for Student Outreach Campaigns, including Call Campaigns through the Family Scholar House, Email Campaigns and Text campaigns.

    Participates in college and system committees related to Early Alert and Student Life Cycle.

  • Program Evaluation, Analysis and Reporting

    Coordinates with Institutional Planning, Research and Effectiveness (IPRE), areas across the institution, and available data sources, to evaluate and report on trends in retention and graduation.

    Assists with identification, development, and assessment of co-curricular activities or initiatives to improve success & retention using data collection and analysis.

    Provides systematic reports and presents area initiatives, activities, and assessment of activities to various stakeholders.

    Assist with grant development, coordination, and reporting related to Student Success & Retention.

    Chairs the BCTC Retention and Completion committee and leads or participates in other related committees and workgroups as needed.

  • Engagement in Area and College

    Actively supports the mission of a comprehensive community and technical college and student success.

    Monitors the BCTC-CollegeSuccess email and provides exceptional customer service to students, faculty, and community.

    Displays personal and professional integrity with an emphasis on confidentiality and attention to detail.

    Completes duties and responsibilities in compliance with college standards, policies, and guidelines.

    Pursues professional development opportunities to stay current on trends, research, and best practices in student retention, student success, and co-curricular assessment.

    Assumes other duties and responsibilities as assigned.

Minimum Qualifications:

  • Master’s Degree

  • Four Years Position-Related experience

  • Excellent communication skills, both written and verbal, with the ability to convey complex information to a variety of audiences.

  • Strong leadership and interpersonal skills, with the ability to collaborate effectively both with area team members and diverse stakeholders.

  • Ability to develop and implement strategic initiatives to enhance student engagement, persistence, and completion.

  • Demonstrates strong self-motivation, organization, and the ability to work effectively with minimal supervision.

  • Ability to adapt and persevere within a fast paced, changing environment.

  • Ability to work with large data sets and calculate basic statistics indicating program effectiveness and student trends.

  • Knowledge of best practices in student retention and success, including familiarity with relevant research and literature.

  • Commitment to fostering a supportive campus environment that promotes student success for all students.

  • Proficiency in Microsoft Office Suite, especially Excel and other relevant software applications.  

Preferred Qualifications:

  • Master’s degree in a related higher education field.

  • At least six years of experience in student retention, academic advising, or related areas within higher education.

  • Demonstrated experience managing retention programs and initiatives, which may include early alert systems, academic support services, summer bridge programs, and student outreach efforts.

  • Familiarity with student information systems (e.g., Starfish, PeopleSoft) and creative marketing solutions (e.g. Canva).

  • Proficiency in data analysis and assessment, including data analytics tools, with the ability to utilize data to inform decision-making and evaluate program effectiveness.

  • Experience working with diverse student populations and understanding of factors influencing student success and persistence.

  • Supervisory experience, including hiring, training, and evaluating staff.

  • College-level teaching experience.
