Job Summary

Reporting to the Associate Vice President of Public Relations, Marketing, and Admissions, and also supporting the Vice President of Engagement and Student Success and the Associate Vice President of Organizational Development/Human Resources, this position provides a wide variety of administrative functions in support of their divisions and their respective leadership teams. The Executive Assistant collaborates with other administrative personnel and departments across the college to support daily operations, assist with budget tracking, coordinate professional and organizational development events, manage key college documents, and maintain web-based resources.

Job Duties:

  • Assist with maintaining calendars and scheduling as needed for three Leadership Executive Team (LET) members.

  • Manage departmental budgets and order supplies For Public Relations, Marketing and Admissions, and Engagement and Student Success.

  • Perform general administrative support including preparing correspondence, memorandums, reports, meeting minutes, and filing.

  • Serve as receptionist by greeting visitors, answering phones, and distributing mail.

  • Respond to internal and external inquiries and issues affecting the departments.

  • Handle high-level and confidential materials related to division activities.

  • Coordinate logistics for professional and organizational development activities (e.g., Open House, Convocation, Breaking Barriers Retention Conference, Programs/Events associated with the Strategic Enrollment Management (SEM) Plan.

  • Assist with Access and Success initiatives to include preparation and submitting all budgetary documents to execute programs.

  • Procard holder for Public Relations, Marketing, and Admissions and Engagement and Student Success, responsible for procard edits and reconciliation by deadlines set by the Business Office.
  • Data entry in PeopleSoft

  • Provide guidance and support to faculty and staff as needed (e.g., questions about placing orders with vendors, ordering print materials from Ricoh/System Office, preparing and submitting forms like EBA8s and EBA850s, etc.)

  • Assist with travel arrangements, purchases associated with travel and submission of delegated travel reimbursements.

  • Monitor and update departmental web pages and directories.

  • Perform other duties as assigned.

Minimum Qualifications:

  • Bachelors degree or Equivalent.

  • Commitment to the mission of the comprehensive community and technical college.

  • Excellent interpersonal and communication skills.

  • Demonstrated problem-solving skills.

  • Strong verbal and written communication skills

  • Ability to work effectively as a member of a team.

  • Good organizational and time management skills.

  • Ability to handle confidential information with integrity.  

Preferred Qualifications:

Bachelors degree and 2 years experience or Equivalent.

Additional Skills Requested:

  • Competent in Microsoft 365 Applications

  • Knowledge of basic marketing and public relations principles.

  • Familiarity with event planning and coordination.
