Job Summary

ECTC is seeking an Administrative Assistant II position to provide clerical support for The Hub.

Job Duties:

• Request from Student Affairs a file with all students enrolled each term and merge them into a master database to be used as a resource for the HUB
• Compile reports from Starfish, as needed, of all students that use our services in the Hub, which include several different areas for in-house and system reports
• Generate reports for the FSH Director of all students using Family Scholar House resources, as needed
• Generate reports showing an unduplicated count of all students from all areas of the HUB using our services
• Generate a list of students from specific areas of the HUB using our services, Success Coaches, etc.
• Compile a year-end list of all students from all areas of the HUB for various in-house and system reports
• Type letters, emails, labels, etc. for the HUB and FSH and review written text for typographical consistency, grammar, and spelling
• Create various documents for the HUB and FSH (forms, sign-in sheets, etc.) and make copies to keep on file
• Assist with the ProCard (ordering, invoices, edits, etc.)
• Answer calls, greet students and have them sign in and direct them to the appropriate areas
• Provide students with handouts of our services and the times tutors are available for tutoring.
• Email students various information concerning the HUB periodically
• Provide pertinent information and direct calls to appropriate places for students to receive help with their classes
• Assist with Hub activities (New Student Orientation, Express Enrollment, etc)
• Assist with various Family Scholar House activities
• Other duties as assigned by the Supervisor.

Minimum Qualifications:

Position Requirements:

Education: Associate’s Degree and 1 year experience or equivalent (High School Diploma and 3 years experience).

Successful Candidates should Demonstrate:

• A working knowledge of word processing, database, and/or spreadsheet application is required.
• Ability to accurately apply and explain policies, procedures, and record systems.
• Ability to interact with students, staff, and the public in a pleasant, tactful, and courteous manner.
• Effective communication skills, oral and written.
• Ability to work under pressure and meet deadlines.
• Maintain accurate records and maintain confidentiality.
• Successful operation of standard office equipment such as fax, computer, telephone, and copy machines.
• Ability to convey information to a diverse population of students, staff, and the public.
• Skills to multi-task and handle walk-in, phone, and internet requests in a fast-paced, high-volume environment.
