Job Summary

We’re looking for a detail-oriented Administrative Assistant to support daily operations, manage schedules, and keep things running efficiently.

Job Duties:

This position reports to the Vice President of Academic Affairs and will assist the Vice President of Academic Affairs and Dean of Academic Services in operations of the Office of the Vice President of Academic Affairs/Academic Affairs Division to include:
- Creating and maintaining systems for monitoring the VPAA/Academic Affairs Division’s schedule, facilitating division workflow, and completing/ensuring timely submission of reoccurring reports and documentation.
- Monitor receipt of requests or assignments originating from the VPAA Office, ensuring compliance with established timelines, procedures, and standards of quality.
- Coordinating and/or preparing special reports: gathering, organizing, and presenting data.
- Facilitating the development/updating of Academic Processes, Practices, and Procedures as well as maintaining an accessible location for those documents.
- Maintaining records on Program Advisory Committees’ membership.
- Developing drafts of official correspondence and documentation.
- Providing support for faculty orientation, professional development, and training originating from the Provost’s Office.
- Monitoring and analyzing data such as faculty advising and teaching loads and course enrollments.
- Performs other duties as required by supervisor.

Minimum Qualifications:

Associate degree and three to four years related work experience or equivalent. Preference will be given to applicants with additional years of experience. Strong organizational skills as well as strong written and oral communication skills. Work confidentially with discretion; exercise considerable judgment and applying experience in making decisions. Analyze situations accurately and adopt an effective course of action. Detail-oriented, with the ability to facilitate others, prioritize and manage multiple tasks, and work independently or as a member of a highly-functioning team. This position requires a high level of professionalism and initiative, as well as the ability to meet deadlines, to work under pressure, and to adjust to changing priorities. Must be proficient in Microsoft Office.
