Job Summary

The Admissions Officer is responsible for managing and processing student applications and supporting documentation for prospective students. This role ensures the accurate and timely review of applications, verifies submitted materials for completeness and authenticity, and maintains detailed records in the institution’s admissions system. The Admissions Officer serves as a key point of contact for applicants, providing guidance on admissions requirements, application procedures, and deadlines. Additionally, this position collaborates with academic departments and administrative staff to facilitate admissions decisions and uphold institutional policies and standards.

Job Duties:

  • Application and Transcript Evaluation & Processing- Evaluate student applications and supporting documents, making informed admissions decisions in accordance with Senate Rules. Process a high volume of applications efficiently while considering requirements specific to each student category (e.g., readmit, non-degree, etc.).

  • Student Information System Management- Utilize the student information system to enter, update, and maintain applicant data. Record admissions decisions and verify the accuracy and completeness of application and document information.

  • Error Resolution- Identify and resolve application and data discrepancies in accordance with CPE Edit Report guidelines.

  • Document Auditing- Conduct comprehensive audits of student records and documentation at the conclusion of each registration cycle and CPE reporting term.

  • Transcript Processing and Records Management- Collect, input, and maintain official transcripts as part of students’ permanent academic records.

  • Student and Public Engagement- Meet with and counsel prospective students and their families regarding admissions procedures, requirements, and next steps. Respond to inquiries about BCTC in a professional and timely manner.

  • Document Imaging and Record Maintenance- Scan and upload all admissions-related documents into the student information system to ensure accurate and complete permanent records.

  • Front Desk Support- Provide coverage for front desk operations as needed, assisting walk-in students and visitors.

  • Residency Determination- Make initial residency determinations in accordance with institutional and state guidelines.

  • Enrollment Support Activities- Assist with registration processes and participate in Freshman Orientation programs to support student onboarding.

  • Administrative Support- Provide support to the Associate Vice Chancellor of Public Relations, Marketing, and Admissions and the Associate Dean of Public Relations, Marketing, and Admissions.

  • Professional Development- Participate in ongoing professional development opportunities, including workshops through the Kentucky Association for Collegiate Registrars and Admissions Officers (KACRAO), as well as other relevant training sessions and meetings.

  • Additional Duties- Perform other duties as assigned to support the overall operations of the admissions office.

Minimum Qualifications:

  • Bachelor's Degree or equivalent

Preferred Qualifications:

  • Bachelor's Degree and 2 years experience

Additional Skills Requested:

  • Excellent customer service, attention to detail, interpersonal and communication skills

  • Extensive date entry skills, Excel, Word, and Outlook experience
