Job Summary
Coordinates the overall operation of the BCTC Dual Credit program to include articulated credit, dual credit, and dual enrollment. This entails aiding prospective students, students, parents, high school partners (principals, counselors, teachers, facilitators) and BCTC faculty. Working collaboratively with the Associate Vice President, Academic Deans, Assistant Deans, Coordinators, college faculty, staff and secondary partners, the Associate Dean of Dual Credit provides leadership and support in planning, developing, and implementing the dual credit program for the college. The Associate Dean of Dual Credit will report to the Associate Vice President.
Job Duties:
- Oversee BCTC dual credit program operations to include articulated credit, dual credit, dual enrollment, and to serve as the liaison for Bluegrass College Academies.
- Develop and maintain good relationships with dual credit partners with regular communication and exemplary customer service.
- Conduct regular communication with dual credit students, high school guidance counselors, and dual credit instructors through various means such as e-mail, phone, classroom visits, video appointments (Teams, etc.), text, and face-to-face conversation.
- Develop and maintain annual dual credit Memorandum of Understanding each semester for each high school and CTC program.
- Develop and confirm approved dual credit course list and instructors for each assigned high school prior to the semester start. Ensure Dual Credit Advisors have this list each semester.
- Work collaboratively with BCTC Scheduling Coordinator to ensure all dual credit courses are created in PeopleSoft.
- Work collaboratively with Admissions, Registrar, and the Business Office to ensure accurate and timely application entry and processing, registration, and billing for OC students.
- Work collaboratively with BCTC faculty and coordinators to ensure dual credit instructors are onboarded, trained, evaluated, and supported as other adjunct faculty.
- Facilitate establishment of KCTCS User Accounts for Dual Credit instructors.
- Collaborate with Admissions to recruit dual credit students as BCTC first-year students and assist with transition activities.
- Manage and supervise staff comprised of Assistant Director of Advising and Dual Credit, Dual Credit Advisors, Dual Credit Administrative Coordinator, and other dual credit staff. Hire and provide training to new staff members.
- Serve as primary liaison to secondary schools for BCTC dual credit programming, development, and implementation. Assist with assigning secondary schools to dual credit advisors based on staffing.
- Develop and maintain good relationships with dual credit partners with regular communication and exemplary customer service.
- Coordinate waiver/scholarship process for dual credit students, serving as primary liaison to KCTCS/KHEAA for waiver/scholarship application.
- Serve as lead with KHEAA for Dual Credit Scholarship and Work Ready Scholarship submission to ensure students can utilize scholarship opportunities when applicable. Ensure processes are in place to ensure accurate scholarship reporting to KHEAA.
- Ensure SEEK funding information is provided to Bursar each semester.
- Work in collaboration with Financial Aid and the Bursar to manage the Momentum Scholarship. This includes communicating broadly about the scholarship, determining which applicants meet eligibility requirements and ensuring the scholarship is applied appropriately each semester.
- Provide academic advising to new, returning, assigned, and prospective dual credit students and include appropriate documentation and concise notes of student interactions, referrals, resources, and interventions.
- Ensure dual credit students receive necessary information related to placement testing, dual credit scholarships, college resources and services, policies, and procedures.
- Provide a supportive environment for all students.
- Participate in targeted outreach plans for dual credit students including email, texting campaigns, social media, etc.
- Refer and/or assist students with navigating both college services and community services and resources when appropriate. These referrals include interventions to address mental health issues, disability support services, food or housing insecurities, financial aid assistance, and more. Assist in scheduling appointments with these resources when necessary.
- Collect and analyze data on overall utilization and effectiveness of dual credit courses, programs, and collaborations to inform dual credit planning and operations.
- Work collaboratively with BCTC faculty and coordinators to obtain and maintain National Alliance for Concurrent Enrollment Partnerships (NACEP) accreditation.
- Develop and analyze unit annual plan in alignment with the BCTC Strategic Plan.
- Oversee dual credit budget.
- Other duties as assigned.
Minimum Qualifications:
- Bachelor's degree or equivalent, 2 years of management or supervisory experience required, and a minimum 3 years of experience
Preferred Qualifications:
- Master’s degree in education, counseling, or related field with 3-5 years’ experience in postsecondary setting.
