Job Summary
The Upward Bound Math & Science (UBMS) Program Assistant provides administrative and programmatic support to the UBMS program, which is designed to encourage and prepare low-income, first-generation high school students to pursue postsecondary education in STEM fields. This role involves assisting in the day-to-day operations of the program, offering logistical support for student activities, and helping with the administrative tasks necessary to ensure program success. The Program Assistant will report to the UBMS Director and collaborate with program staff, students, and external partners.
Job Duties:
Program Support:
o Assist in coordinating academic tutoring sessions, workshops, field trips, and summer programs.
o Help with scheduling and communication for student activities, including STEM-related enrichment events, college visits, and summer programming.
o Support in maintaining student attendance records, academic progress reports, and event participation.
o Provide logistical support for STEM-related hands-on activities, including purchasing and organizing materials.
Administrative Support:
o Assist with maintaining program files, databases, and student records.
o Coordinate communication with students, parents, and school partners regarding program activities.
o Prepare and distribute program materials, such as flyers, newsletters, and program announcements.
o Handle general office tasks such as answering phones, responding to emails, copying, and filing.
o Process purchase orders, travel reimbursements, and other program-related documentation.
Student Outreach & Engagement:
o Assist with student recruitment efforts, including creating outreach materials, participating in school visits, and communicating with prospective students and parents.
o Support students in completing program paperwork and navigating program requirements.
o Serve as a resource for students, providing general information about program expectations, events, and academic support services.
Data Collection & Reporting:
o Assist in tracking program outcomes and performance measures as required by federal reporting guidelines.
o Collect, organize, and report student data related to participation, academic progress, and program activities.
o Help prepare reports and documentation required by the U.S. Department of Education and internal stakeholders.
Other Duties:
o Provide additional administrative and programmatic support as assigned by the TRIO Director.
o Attend staff meetings, professional development opportunities, and relevant program events.
o Support UBMS team members with special projects as needed.
Minimum Qualifications:
Associate degree required. Prior experience working in an office environment and/or educational program is preferred. Familiarity with TRIO programs or experience working with underrepresented students is a plus. Must be able to work flexible hours, including occasional evenings or weekends.
Preferred Qualifications:
Bachelor's degree.
Valid driver’s license and access to reliable transportation.
Additional Skills Requested:
o Strong organizational and time management abilities.
o Excellent verbal and written communication skills.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
o Ability to work independently and collaboratively as part of a team.
o Strong attention to detail and ability to manage multiple tasks simultaneously.
